Your Key Responsibilities

Summary of The Role  The Export Customer Service Representative is responsible for coordinating and managing export Ocean, Air, and Intermodal shipments from quotation through final delivery. The role ensures shipments are handled efficiently, accurately, and in compliance with customer requirements, company procedures, and regulatory requirements while delivering exceptional customer service and maintaining operational profitability.  Role Responsibilities 
  • Manage export shipments from quotation through final delivery, ensuring timely execution and customer satisfaction. 
  • Prepare and follow up on customer quotations by coordinating with carriers, overseas agents, customs brokers, and other service providers. Where applicable, collaborate with the Sales Team and secure bookings. 
  • Coordinate with customers, overseas agents, ocean carriers, airlines, rail operators, truckers, warehouses, and customs brokers to ensure smooth shipment movement.  
  • Arrange and monitor transportation, equipment availability, cargo pick-up, warehouse handling, and Pick-up & delivery within carrier free time. 
  • Ensure timely submission of Shipping Instructions (SI), VGM, export customs declarations (AES/CAED/CERS), and all required shipping documentation. 
  • Monitor shipment progress, proactively communicate updates, and resolve operational issues to minimize delays. 
  • Maintain accurate shipment records, update Cost-Sheets and all operational information,  and milestones in the company operating system. 
  • Ensure supplier invoices are received, verified, and posted accurately, and Customer / Agent invoices are issued within company timelines (within 24hrs of shipment departure). 
  • Coordinate with the Finance Department regarding customer payments, supplier payments, shipment releases, and job closures. 
  • Ensure all shipment release requirements, including receipt of payments and surrender of Original Bills of Lading (OBLs), are completed prior to shipment release. 
  • Ensure compliance with Dangerous Goods (DG), customs regulations, carrier requirements, and all company Standard Operating Procedures (SOPs). 
  • Work collaboratively with Sales, Documentation, Finance, and Operations teams to deliver a seamless customer experience. 
  • Identify opportunities to improve operational efficiency, add value added services, customer service, and internal processes. 
  • Perform other duties assigned by the Operations Manager. 
  • Provide operational reports when requested.  

Required Skill and Qualifications

Qualifications & Experience 
  • Minimum 3 years' experience in Freight Forwarding or International Logistics. 
  • Sound knowledge of Ocean, Air, and Intermodal export operations. 
  • Experience with export documentation, customs procedures, and carrier requirements. 
  • Experience using freight forwarding software (CargoWise experience is an asset). 
  • Proficient in Microsoft Office applications.

Work Environment 
  • General Work Hours: Between 12.30PM – 10.30PM (WFH) Sri Lanka Time – 45hrs/week.
  • Location: Remote WFH + Occasional Meets at our Colombo 5 office – Sri Lanka.
