Your Key Responsibilities

Summary of The Role The Finance & Administration Executive plays a key role in supporting the finance and administration functions by maintaining accurate financial records, processing financial transactions, and assisting with reporting, reconciliations, and statutory requirements. The role also provides administrative support to the operational and HR teams, ensuring effective coordination, documentation, and day-to-day administrative activities. Working closely with internal teams, vendors, suppliers, and external auditors, the Finance & Administration Executive supports the smooth and efficient running of financial and administrative processes. The role requires strong attention to detail, organisational skills, confidentiality, and the ability to manage multiple priorities in a fast-paced environment. Operating with a high level of integrity and ownership, the role requires accuracy, reliability, and effective communication.  Role Responsibilities 
  • Maintain and update financial records, ledgers, and spreadsheets accurately and in a timely manner.
  • Process invoices, payments, and reimbursements in accordance with company procedures.
  • Assist with the preparation of monthly, quarterly, and annual financial reports.
  • Reconcile bank statements and investigate and resolve discrepancies.
  • Support budgeting, forecasting, and expense tracking activities.
  • Manage petty cash and process employee expense claims.
  • Coordinate with external auditors during audits and provide required financial documentation.
  • Ensure compliance with company financial policies and relevant financial regulations.
  • Assist with payroll processing and coordinate with HR where required.
  • Monitor accounts receivable and accounts payable and follow up on outstanding payments.
  • Support tax filing and other statutory compliance requirements.
  • Maintain accurate physical and digital filing systems for financial and administrative records.
  • Coordinate with vendors and suppliers regarding invoices, contracts, and payments.
  • Schedule and organise operational meetings, including preparing agendas and recording minutes.
  • Support the HR team with ad hoc tasks and day-to-day administrative requirements as needed.
  • Handle general office administration and provide administrative support to the wider operational team.

Required Skill and Qualifications

Essential Skills, Knowledge & Experience  
  • Bachelor's degree in Finance, Accounting, Business Administration, or a related field.
  • 1–2 years of experience in a finance, accounting, or finance support role.
  • Proficiency in Microsoft Excel and accounting software such as QuickBooks, SAP, Tally, or similar systems.
  • Strong understanding of financial record keeping, reconciliations, invoices, payments, and expense management.
  • Strong attention to detail and accuracy.
  • Good organisational and time-management skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Ability to multitask and work effectively in a fast-paced environment.
  • High level of integrity and confidentiality when handling financial and company information.
  • Ability to work independently and as part of a team.

Work Environment 
  • General Work Hours: Between 9:00am to 6:00pm Sri Lankan Time – 45hrs/week.
  • Location: Hybrid – 3 days per week working from our office in Colombo 5 and 2 days per week working remotely from home.
