Your Key Responsibilities

Summary of The Role The HR Executive plays a key role in supporting the day-to-day HR operations, recruitment activities, payroll administration, and management reporting functions across the organisation. The role requires strong organizational and analytical skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Working closely with HR leadership, hiring managers, operational teams, the HR Executive will ensure HR processes, reporting activities, and payroll administration are delivered accurately, efficiently, and in compliance with internal policies and employment regulations. Role Responsibilities
  • Supporting workforce planning and recruitment activities, including drafting job descriptions, advertising vacancies, sourcing candidates, screening applications, coordinating interviews, and managing candidate communication.
  • Supporting onboarding and induction processes, including pre-employment checks, HR documentation, probation tracking, and employee record management.
  • Providing day-to-day administrative support to the HR function, including maintaining HR systems, personnel files, absence records, training records, and responding to employee queries.
  • Supporting compliance with employment legislation, internal policies, audits, and HR reporting requirements.
  • Assisting with HR meetings, investigations, disciplinary processes, and general HR administration tasks as required.
  • Supporting the end-to-end payroll process, including validating timesheets, preparing payroll input data, processing payroll changes, and resolving payroll-related queries.
  • Supporting statutory payroll requirements and maintaining accurate payroll records.
  • Preparing and maintaining weekly operational and management reports.
  • Producing Board reports and supporting documentation for senior leadership meetings.
  • Collecting, validating, and analysing data from multiple internal systems and sources.
  • Ensuring accuracy, consistency, and integrity of reporting outputs and dashboards.
  • Supporting senior stakeholders with ad hoc reporting, presentations, summaries, and data requests.
  • Identifying trends, insights, and performance indicators through data analysis.
  • Assisting with the automation and continuous improvement of reporting processes and maintaining reporting schedules to ensure deadlines are consistently achieved.
  • Working closely with operational teams to resolve data discrepancies and support business planning activities.
  • Maintaining confidentiality and security of sensitive employee and business information.

Required Skill and Qualifications

Essential Skills, Knowledge & Experience 
  • Previous experience in an HR Administration, Recruitment, Payroll, or Reporting role (2–3 years preferred).
  • Strong understanding of HR processes, recruitment coordination, and payroll administration.
  • Strong proficiency in Microsoft Excel, including formulas, pivot tables, lookups, and data analysis functions.
  • Experience preparing management reports and working with large datasets.
  • Experience working with HR systems (e.g., Planday or similar HRIS platforms).
  • Excellent written and verbal communication skills.
  • Strong organisational skills with the ability to manage multiple tasks and deadlines.
  • High attention to detail and accuracy, particularly when handling sensitive data.
  • Understanding of confidentiality, data protection, and compliance requirements.
  • Ability to work independently and collaboratively within a team environment.

Work Environment 
  • General Work Hours: 1.30PM – 10.30PM (WFH) Sri Lanka Time – 45hrs/week.
  • Location: Remote WFH + Occasional Meets at our Colombo 5 office – Sri Lanka.
