Your Key Responsibilities

Summary of The Role  The Operations Administrator is responsible for providing administrative and operational support to ensure the efficient day-to-day running of the organisation. This role plays a key part in managing patient records, coordinating appointments, maintaining compliance documentation, and supporting financial administration.   The position works closely with internal stakeholders to ensure operational processes are completed accurately, efficiently, and in accordance with company procedures. Strong organisational skills, attention to detail, and the ability to work independently in a remote environment are essential for success in this role.  Role Responsibilities 
  • Manage clinician diaries and appointment schedules to ensure efficient planning and resource allocation  
  • Confirm, schedule, and rearrange patient appointments as required  
  • Create, maintain, and update accurate patient records and operational documentation  
  • Upload, organize, and maintain electronic records and filing systems  
  • Monitor referrals and maintain accurate tracking systems  
  • Prepare appointment documentation and supporting paperwork  
  • Produce operational reports and maintain spreadsheets to support business activities  
  • Prepare invoices and maintain payment tracking records  
  • Chase outstanding invoices and support general finance administration activities  
  • Maintain staff compliance records, ensuring documentation remains accurate and up to date  
  • Track DBS renewals, professional registrations, insurance documentation, and other compliance requirements  
  • Ensure operational processes are completed in accordance with company procedures and quality standards  
  • Identify opportunities to improve administrative processes and operational efficiency  
  • Work collaboratively with internal teams to support the smooth delivery of services  
  • Perform other administrative duties as required to support business operations 

Required Skill and Qualifications

Essential Skills, Knowledge & Experience 
  • Previous experience in an Operations Administrator, Administrative Assistant, Virtual Assistant, or similar administrative role  
  • Excellent written and verbal English communication skills  
  • Strong organisational and time management skills with the ability to manage multiple priorities  
  • High level of accuracy and attention to detail  
  • Strong proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook  
  • Experience maintaining accurate records and working with spreadsheets and databases  
  • Ability to work independently and effectively within a remote working environment  
  • Strong problem-solving skills with the ability to prioritise workload and meet deadlines  
  • Reliable internet connection and a suitable home working environment  
  • Experience within healthcare administration or working with CRM systems is advantageous

Work Environment 
  • General Work Hours: Between 12.30PM – 10.30PM (WFH) Sri Lanka Time – 45hrs/week.
  • Location: Remote WFH + Occasional Meets at our Colombo 5 office – Sri Lanka.
