Your Key Responsibilities

Summary of The Role  The Payroll & Administration Executive plays a key role in managing the end-to-end processing of client payrolls on a monthly cycle, ensuring accurate, timely, and compliant delivery of payroll and associated statutory obligations for a portfolio of approximately 60 clients. The role is responsible for processing payroll using Sage Payroll, applying correct UK PAYE and National Insurance treatment, administering statutory payments and workplace pensions, and ensuring all required HMRC submissions are completed within statutory deadlines.  Role Responsibilities 
  • Processing monthly and, where applicable, weekly payroll for a portfolio of up to 60 clients using Sage Payroll. 
  • Applying correct UK PAYE and National Insurance treatment, including tax code changes, starter and leaver processing, and year-end reporting such as P60s and P11Ds where required. 
  • Processing student loan deductions, including Plan 1, Plan 2, Plan 4 and postgraduate loans, as well as Child Maintenance Service (CMS) Deduction from Earnings Orders and other court orders. 
  • Administering workplace pension contributions and auto-enrolment duties, including NEST submissions, opt-outs, re-enrolment, and contribution reconciliation. 
  • Calculating and applying statutory payments accurately, including Statutory Maternity Pay (SMP), Statutory Paternity and Adoption Pay, Statutory Sick Pay (SSP), and other family-related statutory leave payments. 
  • Submitting Real Time Information (RTI) to HMRC, including FPS and EPS submissions, within statutory deadlines. 
  • Managing client payroll data through the online client portal, including the secure distribution of payslips and payroll reports. 
  • Converting and reconciling client Excel timesheets into Sage Payroll efficiently while minimising manual re-keying. 
  • Completing statutory annual payroll returns and related year-end compliance activities. 
  • Responding to client and employee payroll queries professionally and within agreed service levels. 
  • Assisting with company formations and preparation of statutory minutes. 
  • Preparing draft letters of engagement for review and issue by senior staff. 
  • Using CAS 360 to prepare and file Companies House statutory returns, including confirmation statements, and maintaining statutory registers. 
  • Carrying out client identity verification and Know Your Client (KYC) and anti-money-laundering checks as part of client onboarding under senior supervision. 
  • Raising client invoices accurately and in a timely manner. 
  • Maintaining accurate time records for all client work using the firm's working papers and time recording system. 
  • Updating and maintaining new and existing client records and information systems. 
  • Supporting the wider administration function and undertaking additional responsibilities aligned with the needs of the practice. 
  • Undertaking required training and development to support effective performance in the role. 

Required Skill and Qualifications

Essential Skills, Knowledge & Experience  
  • Demonstrable experience using Sage Payroll in a bureau or practice environment. 
  • Sound working knowledge of UK PAYE and National Insurance rules. 
  • Practical knowledge of student loan deductions and CMS/court order deductions. 
  • Experience administering workplace pensions and auto-enrolment, including NEST. 
  • Practical experience calculating Statutory Maternity Pay (SMP), Statutory Sick Pay (SSP), and other statutory family leave payments. 
  • Confident using online payroll portals and converting and reconciling Excel data into payroll software. 
  • Strong organisational skills with the ability to manage a full client portfolio independently. 
  • Ability to prioritise monthly payroll processing requirements and meet statutory deadlines with minimal day-to-day supervision. 
  • High attention to detail and accuracy when handling payroll and client information. 
  • Excellent written and verbal communication skills. 
  • Ability to manage confidential and sensitive client information appropriately. 
  • Basic IT competence and confidence using company electronic systems. 
  • Prior exposure to company secretarial work, Companies House filings, or CAS 360 would be desirable; training will be provided where required.

  • General Work Hours: Between 12.30PM – 10.30PM (WFH) Sri Lanka Time – 45hrs/week.
