Your Key Responsibilities
- Process hires, rehires, transfers, promotions, pay changes, and terminations in Workday accurately and within required timelines.
- Maintain accurate and up-to-date employee records and conduct regular audits to identify and resolve data errors.
- Manage position and job data in accordance with the company's job architecture and levelling framework.
- Ensure employee information is maintained consistently and accurately across relevant HR systems.
- Prepare and send offer letters and onboarding documentation using approved templates and processes.
- Track completion of new-hire paperwork and follow up with shop managers and the People team where information is outstanding.
- Monitor I-9 and E-Verify completion deadlines and escalate outstanding requirements appropriately.
- Process employee offboarding activities, including system access removal requests and final employee record updates.
- Ensure onboarding and offboarding activities are completed accurately and within required timelines.
- Respond to employee and manager queries through the HR inbox or ticketing system within agreed service levels.
- Provide accurate responses to routine queries relating to HR policies, pay dates, benefits enrolment periods, and HR processes using approved knowledge resources.
- Maintain a professional and supportive approach when dealing with employees and managers.
- Escalate complex or sensitive matters, including employee relations, leave, accommodations, and legal queries, to the appropriate People team member.
- Prepare and review HR-to-payroll change files ahead of each payroll cutoff.
- Support benefits enrolment, qualifying life events, and carrier data feeds.
- Complete employment and income verification requests using approved processes.
- Work closely with relevant teams to ensure payroll and benefits information is accurate and submitted within required deadlines.
- Prepare standard HR reports, including headcount, turnover, new hires, and outstanding items.
- Maintain accurate HR records and reporting information.
- Keep HR process documentation and knowledge articles accurate and up to date.
- Identify opportunities to reduce errors, manual processes, and response times.
- Suggest and support improvements to HR administration processes and ways of working.
Required Skill and Qualifications
- Previous experience in an HR, People, HR Administration, or similar administrative role.
- Experience working with HR systems; experience with Workday would be advantageous.
- Strong attention to detail and accuracy when maintaining employee data.
- Good understanding of HR administration processes, including onboarding, offboarding, employee records, payroll, and benefits support.
- Strong organisational skills with the ability to manage multiple tasks, priorities, and deadlines.
- Excellent written and verbal communication skills.
- Strong customer service skills with the ability to respond professionally to employees and managers.
- Ability to handle confidential employee information with discretion and integrity.
- Comfortable working with reports, spreadsheets, and HR data.
- Ability to work independently while knowing when to escalate complex or sensitive matters.
- Must be accountable with a strong work ethic, a sense of urgency and ownership, and be able to work effectively both independently and as part of a team.
- Data driven, highly organized, and detail oriented.
- Able to deliver as efficiently as possible without compromising quality, accuracy, or employee experience.
- First class communicator with an ability to engage employees, managers, and People team stakeholders confidently and professionally.
- Efficient in approach, developing optimized and simple working methods and processes with a keen eye for detail.
- Highly trustworthy and discreet when handling confidential employee information.
- Proactive in identifying errors, resolving issues, and improving processes.
